Information and Records Management

  • Responsibility, Scope, Legal Obligations

The FOI & Records Manager is responsible for providing advice, expertise and training on Records Management within the University and ensuring that the University meets its obligations under the Freedom of Information (Scotland) Act 2002, the Environmental Information (Scotland) Regulations 2004, the Data Protection Act 1998 and related legislation.

A record provides evidence of some specific activity and may be in any physical format or storage medium. Records Management is the efficient and systematic management of records from creation through to destruction/archiving. This allows the University to identify, track and access the information and records it holds, and retain appropriate records to meet legal, regulatory and business obligations.

Freedom of Information and Environmental Information legislation provide a general right of access to most of the recorded information held by the University, regardless of age, format or medium.

Data Protection legislation is concerned with protecting the rights of individuals to privacy when personal data is being processed. The legislation lays down a framework for collecting, storing, securing, transferring and disposing of personal data and gives rights to individuals regarding their personal data.
